Getting Started with eGems Communicator This chapter describes how to install eGems Communicator, including requirements and steps for installing and starting eGems Communicator on a local computer.

Requirements To install eGems Communicator, you must have the following:

Hardware • Pentium or better • 128 MB RAM minimum

Operating System • Windows 98, NT 4.0, Windows 2000, Windows ME or Windows XP • Service Pack 6 and above for NT 4.0

Minimum network configuration • TCP/IP protocol installed • Network card (attached to a local area network or an Internet connection)

Uninstallation An entry will be added to the Add/Remove Programs feature of the Windows Control Panel. You can uninstall the program by selecting the ‘eGems Communicator’ item listing in the Add/Remove Programs feature.

Installing on individual computers To install eGems Communicator locally on individual computers, do the following: 1. Insert the eGems Communicator CD into your CD-ROM drive. 2. Follow the directions in the dialog boxes on the screen. 3. If you are installing eGems Communicator on more than one computer, you can copy the installation directory to other computers or to a shared directory on a file server.

Starting eGems Communicator To start eGems Communicator on local computers from Windows : eGems Communicator is designed to automatically start when Windows is launched. To start eGems Communicator on a local computer from Windows, do the following: From the eGems Communicator menu, click on eGems Communicator menu.

eGems Communicator Main Screen The Main Screen The Main Screen is the basic components of eGems Communicator, including the eGems information storing, the contact list, and exchange features. The following illustration details the menu functions you will use.

Collector Collector system is a powerful feature that allows you to capture the important pieces of information you need without ever leaving your work with your web browser, word processor, spreadsheet, or any other Windows application. These important nuggets of data, or gems, are stored in your own personal database for later retrieval and use. Whether you want a particular quote, table, statistic or picture, you only need to drag the selected item to the always-available eGems Icon and a gem will be created for you. See the online help for details.

Contact List Presence information enables a user to see whether another user is currently logged on to the workgroup (from the local network or the Internet). By default, the contact list displays all the workgroup users pictures and their status in order to automatically track the availability of co-workers. You can access all communication and exchange features by right clicking on the user icon. Your online status is shown in the status bar of eGems Communicator (located at the bottom of the main window). You can change your online status by selecting it from the File menu and My Status. Your status can be any of the following: Online This is the default status when you have logged into eGems Communicator. Busy

extended period of time When using this status others users know you are using your computer and can answer Online in real time. Offline This means the user is not currently logged

Communication and Exchange Features Instant messaging Send and receive popup messages on your network. Messages can be directed to individuals or groups users. Messages can be personalised with fonts, colors and graphics. Create conferences with co-workers in chat meeting rooms. Multiple conference sessions can be operating simultaneously. Users can be selectively added or removed from the chat session. Message conversation can immediately become a chat session.

File Transfer Send and receive privately file is very easy and can be made in one single click. Files are stored in a specific folder. Reception notification appears on the message interface and the recipient just has to accept the file sent to start the download.

File Sharing Take advantage of the file sharing feature to share collections of documents or other files with remote workers over the workgroup. You can also access your pictures, drawings, documents from anywhere at any time.

Remote control (Application sharing) Share applications in a conference session for the purpose of presentations, demonstration or training. Application sharing provides the ability for workgroup users to view any application program and interact with the application in real-time. Provide your support staff and help desk the ability to control the screen, keyboard and mouse of remote computers over the network.

Voice conferencing With eGems Communicator voice conferencing feature, you have the flexibility to set up a voice conference with your staff. Combine voice conferencing with remote control and chat for trainings, presentations or brainstorming sessions.

Using Instant Messaging This chapter describes sending and receiving instant messages, including: • adding or removing users, • customizing messages with fonts, graphics and macros, and • storing and deleting messages.

Sending a message You can compose and send a new message by following three basic steps: Step 1 Select a user. Step 2 Enter information in the message composition window. Step 3 Click Send button (or press CTRL+Enter).

Step 1 – Selecting a user Select a user by using one of the following options : 1. click on the user and click the first toolbar button 2. Right-click on the user and choose Send Message from the submenu.

Step 2 – Enter Information After you have selected the user, enter as much information as necessary in the displayed message composition window.

Customizing text in a message You can customize your text by changing fonts and font style, size and color. Simply select the text to apply the attributes.

Receiving messages By default, eGems Communicator is configured in such a way that all received messages pop up automatically on the screen. If you change your status in order to not display pop up, a copy of the new message will be stored in the “Exchanges folder” (bold font for new message).

Actually, a copy of the message is always stored in the “Exchanges folder”.

Exporting a message You can save a message in Rich Text Format (RTF) to another location on your drive or network. 1. Click on the Export button. 2. Select a location and type the new filename. The new file is saved with an .RTF extension.

eGems Communicator Printing a message To print a message : 1. Click on the Print button. 2. Select your printer from the Windows Printer Option.

Copying a message to clipboard To copy a message : 1. Click on the Copy button. 2. Use the paste menu of the other software.

Retrieving messages To retrieve a message : 1. Click on the Exchange button. 2. Select the message to be retrieved. 3. Double-click on the message.

Sending a message to the trash To send a message from the Exchanges folder to the Trash folder: 1. Click on the Exchange button. 2. Select the message to be deleted. 3. Press the Delete key on your keyboard or select Delete menu item from by right clicking. The message is moved to the trash folder.

Deleting a message To delete a message from the Trash folder: 1. Click on the Trash button. 2. Select the message to be deleted. 3. Press the Delete key on your keyboard or select Delete menu item from by right clicking.

Using File Exchanges This chapter describes searching, sending and receiving files. With this feature you can establish a workgroup File Sharing. You can also use it to transfer large files quickly and in security between two computers.

Workgroup File Sharing Overview In Contrast to the client/server model, where all inter-client traffic is routed through a server, eGems Communicator model provides direct connection between clients, as shown in this figure.

Sharing your files Active sharing is the key to useful collaboration tools. In order for everyone to benefit from the workgroup file sharing feature, eGems Communicator provide a very easy way to share files. To share a folder : 1. Click on the Explorer button. 2. Check the folder box you want to share. All users will be able to download these files.

Retrieving your shared files To retrieve the files you share: 1. Click on the Explorer button. 2. Use one of the following view. Folder view You can navigate through drives and folders to see shared files. • Red check box : at least one subfolder is shared • Gray check box : The folder and all subfolder are shared

Summary view eGems Communicator shows the shared files groups by type.

Details view To see the file information and a previews select the file in the list.

Unsharing files To unshare a folder : 1. Click on the Explorer button. 2. uncheck the folder you want to unshare.

Searching for files To search for a file: 1. Click on the Search button. 2. type your keyword. 3. click the “Find Now” button

The Search options offers more options to narrow search criteria to the users. For example, a user can search for a Microsoft Word file, with the following criteria : "financial analysis" as the title and "CEO" as the author. Each searching (audio, video, document, image, program…) offers different search criteria, which are specific to the file type. If you don't know what type of file you are looking for--or do not have a preference--leave "All" as your selection. Once you have typed the subject of your search into the field, it generally takes 30 to 90 seconds to display all the results. Multiple Sources Sometimes a + will be displayed on the left of the file icon. This + which is positioned on the right of the file icon means that the file is available for downloading from multiple sources. If you select the file downloading, it will process from those multiple sources simultaneously, making the download speed faster.

eGems Communicator Downloading files To download a file from the search result list : 1. Select the file in the list. 2. Click on the Download button

Getting traffic information You can monitor the progress of a downloading file by clicking on the Traffic button. The Traffic view shows two windows. The top window shows downloading files (coming to you from another user) and the bottom window shows uploading files (going from you to another user). Downloading files eGems Communicator will first display the Connecting message meaning that the user who is sharing the file you are requesting, is being contacted for connection information. When the user's computer responds the download starts. Download speed depends on the user(s) you are downloading from. Your downloads cannot be faster than their upload bandwidth allows. If the remote computer disconnects from the Internet while you are downloading, your download will be interrupted. eGems Communicator uses intelligent downloads to periodically try to continue downloading your file from other workgroup users until it finds the file again. You can also try to right-clicking the file and choose 'Search for another source', this will make eGems Communicator look for additional sources to download from and may increase the download speed.

Files status This shows the current status of the download and can have several meanings: Searching eGems Communicator is trying to find the requested file on a users computer. More sources required The user you were downloading the file from has now gone offline. Your eGems Communicator will search for a matching file somewhere else and will continue the download when it finds the file. Remotely queued The user that you are downloading from has limited the number of simultaneous uploads. When a download spot frees up, your file will be downloaded. Queued

eGems Communicator You have limitations on the number of downloads you allow for each time. This could be due to your administrator specifications or a limited bandwidth capacity. When a space becomes available because of download completing, or a pause, etc, then the file download can begin. Connecting A matching file has been found and you are connecting to the other user computer. Downloading The file is being transferred to you from another user. Complete The file has been successfully downloaded. Cancelled The file download has been cancelled by you. Paused You have clicked on Pause to temporarily stop the download. You can start it again by clicking on the Restart button. Time Remaining An estimation of on how long the file transfer will take until it iscomplete. This is based on the size of the file, the amount left to download and the current speed. This figure will change as the speed fluctuates. Downloaded/Total Size Shows how much of the file has already been transferred and what the total amount is. Speed indicates the current speed of the transfer in Kb/s (kilobytes per second). Downloading Options By right clicking on a file you get a variety of options. The options available will depend on what the download status. Open/Read If a file download is complete, then you can open it directly from the Traffic folder. Some files will open in the Player folder. Not all file types can be executed this way. Search for another source This options allows to see if any other user has the same file so that you can also download it from him, increasing the speed of your download by using multiple sources. Pause Download Temporarily stops the download of the selected file. Restart Download Restarts the download of a paused file. Cancel Download Stops the selected download. Cancel all Downloads Permanently stops all downloads that are not complete. Delete all Downloaded files This option removes all files which are 'Completed' or 'Cancelled' from your download window.

File Transfers Sending file To send a file to a user choose one of the following options: From the menu 1. Right click on the user destination 2. Click on the “Send a File” menu item 3. Select the file you want to send Drag and drop From Windows Explorer, eGems Communicator Explorer and Exchange windows, you can drag and the file over the user icon. Each sending must be validated with the confirmation dialog box

Using internal player Use the eGems Communicator Player to watch video files and view images you have downloaded. There are several buttons at the bottom of all views. The Media Player control buttons are : ‘Play’, ‘Pause’, ‘Stop’, ‘Previous’, ‘Next’ and ‘Mute’.

Full Screen Click on ‘Full Screen’ button to display your video/image display across the whole screen. Press ESC to return to normal mode

Using conference services This chapter describes how to use the video and audio conferencing function. eGems Communicator connects you to any user workgroup so you can share ideas, information and Windows programs while using video and audio conferencing.

Requirements Video -Digital USB, firewire, or analogic (color) video camera -Video capture card (for analogic cameras) and drivers (if needed)

Audio -Microphone (Headset recommended) -Sound card and drivers (if needed)

Starting a conference Calling a user You can start a conference by using the camera : 1. Right click on the user 2. Click on the Camera menu item

Accepting a conference Each conference invitation automatically pop up on the screen. Click on the Accept button to start the conference.

The following screen will be displayed at the bottom of the main window.

Now you can use the phone to speak with other users by clicking on the Phone button.

Using Remote Control Remote Control can be used to train employees, to make presentations with participants, or to remotely provide software support.

Starting the remote control Asking for control To ask for a remote control : 1. Right click on the user 2. Click on the PC Share button menu item

Giving access You can accept the remote control in one of these ways: • without mouse and keyboard. • with mouse only. • with keyboard only. • with both mouse and keyboard

Remote Control Viewer The remote control viewer provides a window into a host computer. When your mouse moves over the viewer area, it changes the mouse location on the host computer. To exit the remote control session, simply click on the Close button in the upper right corner of the window.

Resolution settings To change the resolution settings, click on the Action menu and select the resolution.

Stoping the session To stop the remote control session, press the F11 key on your keyboard.

Security Services eGems communicator offers excellent security services for network authentication, transactions secure and communication between users. Large organizations need flexibility to create interactive workgroup and manage data transfer. This chapter examines the components of the security services and provides details on their implementation.

Protocols eGems communicator uses a combination of security protocols to create private network Layer 1 : Standard TCP/IP. Layer 2 : Specific Encrypted Datagram (including source, routing information, final destination identity key…) Layer 3 : Specific encryption (RSA w/RC4, DES, Triple-DES, AES) eGems communicator uses specific ports defined by the administrator, it can be common port (80…) or dedicated. eGems communicator do not create any network vulnerability. All data exchanges are checked and should match eGems communicator protocol. Viruses transmission and IP attack are not possible from outside parties.

Network authentication The network authentication is the primary security protocol to access the resources within the workgroup.

Real-Time monitoring Using this feature, administrator can : • Monitor log files (connections, none accepted connection,…) • Send and receive alert notifications, including via email and instant messaging, when events occur • Force user to read a message Copyright © 2003 Clustone
