Introduction to the Palm Pilot What's in a Palm? The Palm family of hand held organizers help you keep track of personal information such as your calendar, address book, to-do list and more while you're on the go. You get information into your Palm unit in any of three ways: by downloading data from your PC when you perform a "HotSync," by writing onscreen with Graffiti handwriting recognition system, or by taping the onscreen keyboard. The Palm comes with a set of basic applications found in most Personal Information Managers (PIMs) such as an address book, calendar, to do list, memo pad, and expense tracker, but you can install many other applications such as games, productivity tools, drawing programs, helpful databases of information (including a BART schedule), even electronic books! Many of these programs are available for free or minimal cost on the web. You can connect most Palm units to the internet with a separate modem to send and receive email and even access the web, or you can use the built in wireless functions of the Palm VII to use email and access web pages specifically formatted for the Palm called web clipping pages. Although there are several different models of Palm units available and several more still in use, the interface and software is remarkably consistent throughout all the models.

Expense: Keep track of expenses and mileage while out of the office, export the data to Excel when you return 6. Calculator: simple calculations 7. Mail: Download email from your email program to read and reply to on the Palm; send the replies when you return and HotSync. 8. Games: Minesweeper and more to pass the time 9. Other applications you install: Literally thousands are available; many for free. The sky’s the limit!

B. How it works 1. Enter info by writing on screen with “Graffiti” or taping on-screen keyboard. It's best to avoid touching the screen to keep your skin oils from gunking it up, and avoid scratching it with sharp objects. 2. Data is stored in memory (RAM); batteries are required to keep the memory alive. 3. No disks, start up time, saving, or shutdown time. 4. The operating system software (Palm OS) takes up only about 40 kilobytes! 5. Info backed up on PC when you HotSync. 6. Info can be entered on PC, transferred to Palm when you HotSync 7. If battery runs out, info on Palm is lost. HotSync restores only what’s on PC 8. Info on PC stored in “Palm Desktop” program or in Outlook if you set it up with “conduit” software

C. Battery life 1. Palm w/ AAA batteries 4-8 weeks, depending on use 2. Palm V recharges through HotSync cradle a) 3 hrs to fully charge b) Few Minutes a day to top off c) Low Battery warning - HotSync before charging d) If Palm shuts down from drained battery, you have up to a week before data is lost 3. Palm VII has an built in rechargeable NiCad battery at the top that powers the wireless transmitter. It is recharged by the AAA batteries so they won't last as long as with other models, especially if you use the wireless features a lot. When the NiCad run down and start recharging, you may be unable to use the wireless functions during that time.

D. Navigate the Palm Interface 1. Power button, backlight, contrast knob, stylus holder, hardware buttons, touch screen (but don't touch!), Silkscreened buttons, scroll buttons 2. Hardware buttons launch the four main applications a) Will turn on palm unit if off b) Can be remapped to launch whatever application you want c) Each push scrolls thru different views for Calendar, or categories for Address book, Memo, To Do list. 3. Silkscreen buttons: Applications, Menu button, Calculator, Find 4. Applications Screen a) Applications Icons – tap one to launch Tap Applications button again to return to Applications screen b) Note the clock in upper left, battery charge icon at top c) Scrolling up/down is done by pressing the scroll buttons at the bottom or tapping the onscreen scroll bar. d) Viewing by Category - tap the drop down triangle in top right to view all the applications, just the main ones, or other groups such as games, utilities, system functions, etc. e) Tap the menu button to display the drop down menus. This is how you access menus in all the applications. Try: Menu > App > Info - shows you amount of memory used by apps 5. Graffiti writing area: write letters on left, numbers on the right a) “Tap” abc to bring up onscreen keyboard for typing letters b) Tap 123 to bring up keyboard for numbers and symbols

E. Getting Started – Memo Pad 1. Create a memo: Push memo application button The memo pad is a great place for random notes, lists, numbers, and those scraps of information that often slip between the cracks. It's a good place to put the sorts of random info you often write down on a yellow Post It note; in fact when you sync with Outlook, the yellow sticky notes in Outlook sync with the Palm's memos. 2. Tap New and begin writing the memo. 3. Use onscreen keyboard 4. Tap Details at the bottom to assign a category 5. Tap Done when you are finished writing the memo. 6. Tap memo to reopen and read 7. You can change how your memos are sorted. Tap the Menu button, tap Options, and then Preferences. Choose Manual if you want to be able to drag and drop them into any order you like, or Alphabetic for, well, alphabetical order.

F. Graffiti Writing 1. Use reference card to learn strokes- takes some practice 2. Don’t use finger or other pens on screen 3. Write as big as possible in the graffiti area 4. All letters are based on their upper case version except “h” 5. All letters are created with one simplified continuous stroke (except “x”) 6. Try: Graffitit tutorial a) Tap applications button several times untill you see the System category b) Tap graffiti to launch the tutorial 7. Get graffiti help: G 8. Powerstroke dragging from graffiti writing area all the way up the screen open the graffiti tips. You can reprogram this Powerstroke to do other things if you prefer. 9. Backspace, Return, Shift, Punctuation 10. Short cuts 11. Graffiti writing tips: a) Write as big as possible in the Graffiti area, but stay inside b) Don't slant your handwriting c) Slow is OK d) Problem letters: (1) Write V backwards- from right to left - to distinguish it from U (2) Remember the extra bit on the end of Q, G and Y

(3) Try an alternate to Y : (4) P, B, R, D: You can omit the downstroke and start at the bottom left (5) X is the only two-stroke letter, but can be written in one stroke e) Scotch tape over the writing area may improve writing and protect the surface! Use Scotch Tape #811 “Magic” tape.

G. Using an Application - Address Book 1. Tap Address Book icon to open or press hardware button 2. Tap New Button to create entry 3. Use keyboard to enter text – tap “abc” in Graffiti writing area to open keyboard 4. Enter Name, Phone number, email address a) First letter is automatically capitalized, except for the email address. 5. Assign a Category - tap the upper left corner and choose Business or Personal 6. Tap Note button to enter more info about the contact 7. Tap Done when you’re finished the note 8. Tap Done to return to the Address List. Note that the name and one phone number is visible. 9. To view the entry, tap it once to see all the information. 10. Tap Edit to make any changes. 11. The Address Book can be synced with your Outlook Contacts. We'll cover this in Part 3.

H. Date Book 1. Navigating: 2. Three Views- Day, Week, Month. Tap the onscreen icons to change the views or press the Date Book hardware button to cycle through them. 3. Days-of-the-week letters at the top let you choose different days. Scroll arrows at each end let you jump to the previous or next week while staying on the same day of the week. To scroll through the days consecutively, use the plastic scroll buttons at the bottom of palm unit. 4. Tap a time slot and begin writing to create a new appointment. 5. Tap on the time to the left of the appointment to open the Set Time Dialog box. Set the end time. An appointment with No Time appears at the top of the day with a diamond icon. 6. To Edit an Event a) In Day View, tap inside the text of an event to select it b) Tap Details c) Tap the dotted box next to Time or Date to open Set Time or Set Date screen. d) Tap to select a new time or date or use the scroll arrows to move through time. e) You can drag and drop events in the week view 7. To set an Alarm for an event a) In Day view, tap inside the text to select the event b) Tap Details c) Check the Alarm option and choose how long before the event you wish to be reminded d) Note that the alarm is not very loud! e) To change the alarm options, tap Menu > Options > Preferences 8. To Delete an Event a) Drag through the text to select it b) In the graffiti writing area drag a backspace or c) Tap Menu > Record > Delete Event 9. To purge all old events a) Menu > Record > Purge 10. To Create Recurring Events: a) Create an appointment b) Tap Details c) Click the dotted box next to Repeat d) Choose a repeat interval, and an end date if appropriate 11. To Jump to a specific Date a) In any view tap Go to button

I. To Do List Like Tasks in Outlook, a place to list and prioritize your to do list. You can display due dates as well. 1. Press the To Do button to open the application. 2. Tap New and begin writing the subject. 3. Tap the priority number to choose a different priority. 4. Tap Details at the bottom to enter a due date, add a note, category, or change other info 5. Tap Show to change how the To Do list is displayed. Use this to display the due date or other details. 6. Tap the check box to mark an item as complete. Use the Show settings to change whether you display completed items, due items, etc. 7. An exclamation point will display next to items that are overdue.

J. Calculator The Calculator allows you to perform basic arithmetic functions. The results can then be copied and pasted into any other item using the menus or shortcuts. 1. Tap the calculator silkscreen button. 2. Tap the onscreen buttons to perform calculations. 3. Tap Menu button > Options > Recent calculations to see your recent number crunching.

II. Mastering the Palm Desktop A. HotSync with Palm Desktop on the PC When you perform a HotSync, new data you've entered on your Palm unit is backed up in the Palm Desktop program, and any information you typed in there is downloaded to the Palm. The Palm Desktop software has the same Calendar, Address Book, To Do List and Memo Pad as the Palm does; if you have a lot of information to get into your Palm, it's much easier to enter it on your PC than use Graffiti to write it all in. When it comes time to install new applications, the Palm Desktop helps do the trick, as well as helping you export your expenses to Excel. 1. Make sure your computer is turned on. 2. Place your palm unit in the HotSync cradle. 3. Press the HotSync button on the base of the cradle. 4. That's it! 5. Troubleshooting: Make sure the red and blue double arrow is visible in the system tray. If it's not, go to your Start Menu > Programs > Palm Desktop > HotSync Manager to turn the HotSync software on. 6. Make sure everything's plugged in properly. 7. For other problems consult your help files in the Palm Desktop software: Help > Help Topics > HotSync Manager Help.

B. Enter info in Palm Desktop 1. On the PC, Launch the Palm Desktop through Start Menu > Programs. 2. Use the buttons at the left to display the different applications. 3. Click the New button at the bottom to add entries. 4. In Address book or Calendar, click Edit to make changes, in memo and To Do click in the fields on the far right of the screen to make changes. 5. Explore the menus to find the similar functions found on the Palm unit. 6. Note the User name in the upper right corner; if everything is blank, make sure you see the correct user name in the drop down menu.

C. Importing data from other files 1. The imported files must be comma separated (csv) or tab separated (tsv) text only files .txt format. 2. Activity: Import airline numbers into Address Book from Palm Pilot Ultimate Guide CD. 3. In Address Book, create new category called travel. Tools > Categories. 4. Choose File > Import and browse to the CD's Travel Info folder 5. Switch Files of type to Comma Separated and open Airline Toll free AG 6. On the left side, uncheck all boxes except Company name and Work (phone) 7. Drag Company to the top, Work second from top 8. Click the scan records right arrow twice to see if the fields line up 9. Click OK

D. Deleting entries 1. Open an item by tapping in it. 2. Tap the silkscreen Menu button. 3. In the Record menu choose Delete (Address) or (Memo) etc.

E. Use Find The Find function is a useful way to search or filter your records when you have a lot of data entered. 1. Tap the Find silkscreen button in the lower right corner of the screen (It looks like a magnifying glass) 2. Write the word you wish to search for and tap OK 3. You'll see all the items - Addresses, Datebook entries, Memos, etc containing the word you entered. 4. Tap Find More to look deeper into the body text of the items. 5. Tap any item to open it.

F. Use Lookup Look-up lets you grab a name and phone number and insert it back in a memo or appointment you were creating. 1. Start creating an appointment 2. Once you see the cursor for writing text, tap the Menu button, then Options, then Phone Lookup. Or use the command shortcut / L. 3. From the Address list, tap once in the name you want, then tap Add . The name and phone number are inserted in the appointment. 4. If you begin by writing someone's last name and your cursor is still in it, the lookup feature will try to match their name to an entry in the Address book.

G. Use Copy and Paste 1. Use the stylus to drag through some text or numbers to highlight them. 2. Tap the menu button. 3. Tap the Edit menu and choose Copy or Cut 4. Navigate to another line or item where you want to paste the text or number. 5. Tap the Menu button and choose Edit > Paste. You can also use Command shortcuts: 6. Use the stylus to drag through some text or numbers to highlight them. 7. In the Graffiti writing area, write the upward slash 8. While the word Command: is still visible write the letter X to cut, C to Copy or P to Paste. 9. You can learn more command shortcuts from the menus.

H. Use Private records You have two security options: You can designate certain records to be private which you then hide or show depending on who's looking over your shoulder, or you can use the Turn Off and Lock feature to require a password to turn the Palm back on. To designate an item as Private: 1. On the Palm, select any of the main applications and open an item. Tap edit. 2. Tap the Details button. 3. Check Private, then OK . 4. To hide private records, tap the Applications button until you see the System category. 5. Tap Security. 6. Tap Hide to hide all private records, Show to show all. 7. To create a password to show private records, tap unassigned and enter the password you wish to use. 8. To lock the palm unit, tap Turn Off and Lock Device… 9. You can set up your powerstroke to do this in Applications > System category > Preferences > Buttons category > Pen

I. Expense and Mileage Recording 1. Can be exported to Excel from desktop software 2. On the Palm, tap the applications button until you see the Main applications. 3. Tap Expense to launch it. 4. Tap New 5. Tap Expense Type and choose from the menu 6. Write a amount on the right 7. Quick way: Instead of taping New just begin writing the type of expense such as BR for breakfast or LU for lunch in the Graffiti writing area. The write a number in the number area. Tap outside the entry once you're done.

III. Using Other Applications A. Mail • • •

Copies messages from PC email program Can read, reply, delete messages On next Hot Sync, messages get sent to email program 1. To set up Mail: a) Start Menu > Programs > Palm Desktop > Mail Setup b) Go through the wizard and choose your email program. 2. After next HotSync ALL mail from your inbox will be copied into the Palm Mail program for offline reading, replying, or deleting. a) To specify that only your unread mail be downloaded to the Palm: b) In the mail program, tap the menu button, then tap Options, then HotSync Options and choose Unread

B. Download and install applications from web or CD ROM 1. Visit any of the sites listed at the end of this manual that has downloadable software. 2. Check the page for any specific downloading instructions 3. General Instructions: a) Click the hyperlink on the web page that indicates “download” or “install” b) If the downloaded file is a .prc or .pdb, it will be ready to install directly into the Palm unit. Tell it to save the downloaded file into: C:\Palm\YourName\Install. You can browse to that folder by going into your Hard Drive (we’ll assume its called C:) , then into the Palm folder, then look for a folder with your user name, then inside that is the install folder. At your next HotSync, any .prc or .pnb file will be installed into the Palm unit. c) Some downloadable software is somewhat big, so it may be compressed into a “.zip” file. Download it too your desktop first. Then you’ll need to unzip it using a utility like Winzip. If you don’t have Winzip, Stuffit, or something similar you can download it from a site like www.download.com or www.shareware.com. Ask a friend for help if it gets too confusing. That’s what friends are for! Unzip the files into the Install folder mentioned above and then HotSync. 4. The Palm Pilot: The Ultimate Guide by David Pogue includes a CD with over 3,000 programs that can be installed with the click of a button. He also recommends the top 100 of those 3,100. Much easier!

C. Synchronizing with Outlook (or other PIM programs) 1. You need a software conduit to synchronize the data from the Palm unit to a separate Personal Information Management program on your PC (we’ll use Outlook) 2. Data will be backed up and synced in Outlook instead of the Palm Desktop 3. You should still keep the Palm Desktop software on your PC- it will still be necessary for installing new applications into the Palm, tracking expenses, and other functions 4. Most conduits come from third party vendors: Pocket Mirror, Desktop to Go, Intellisync 5. You will need to reinstall the Palm software from the CD to install Pocket Mirror which is included with the Palm software a) The installer detects if you have Outlook and asks you if you want to sync with it or with the Palm Desktop 6. Once the conduit is installed, you can usually access its settings from within Outlook- for Pocket Mirror look for a small Palm looking button in the Outlook toolbar. 7. Do your HotSync the same way as before: press the HotSync button on the cradle and your data is synchronized, even if Outlook is not open. 8. Challenges (Using Pocket Mirror) a) Only the main default folders in Outlook are synced: Contacts, Calendar, Tasks, Notes. Subfolders can not be synched. b) Not all fields in Outlook items have corresponding fields in the Palm software and therefore won’t be imported. For example, Outlook contacts can store 18 phone numbers, Palm address book records can only store 6. You can change the priority order of the which phone number field get “mapped” to the Palm unit from Outlook. Open the Conduit Manager from the Outlook toolbar, double click the user name, then double click Outlook Contacts to open this dialog box:

c) If you edit an item on the Palm and in Outlook, you’ll end up with duplicate items after the next HotSync. You’ll get a warning message from the HotSync log informing you this happened. Edit one item to reflect the correct information and delete the other item. d) The Pocket Mirror conduit software gives you two options for handling categories between Outlook and the Palm:

(1) The first choice “Map handheld category to Outlook’s ‘Categories’ field” may be preferable as it lets the Outlook categories appear assigned to the items in the Palm unit. For this to work, keep your total number of categories used for a folder in Outlook to 15 or less, and remember that only one category per item will transfer to the Palm; the first category in alphabetical order. (2) If you’ve set up Map Handheld Categories to Outlook’s Categories (as above) you’ll want to make Outlook overwrite the Palm on your next HotSync. Change the Conduit Manager settings to make Outlook Overwrite Handheld:

e) The Palm unit can only have a maximum of 15 categories per application. (The date book can have 15, the address book can have a different 15, etc.) if you apply more than 15 categories in Outlook to your Contacts, the HotSync log will tell you that the extra categories have been deleted and any records assigned to them have been assigned the “Unfiled” category. f) The Palm unit can only have one category per item, whereas Outlook can have many categories assigned to an item. The first category in alphabetical order assigned to the record in Outlook will be transferred to the palm unit. The item in Outlook will still have its multiple categories. So choose (or name) your categories carefully!

IV. Wireless Palm The wireless functions of the Palm VII allow you to send email messages and get info from the web, but it does not provide all the same email and web surfing functions you have on your desktop PC. And for good reason: it would be slow, expensive, and give you too much clutter on your screen. The Palm VII provides pared down email and web access features that is simpler, more compact, and may be cheaper and lighter than other options.

A. Beaming Beaming allows you to send information to another Palm unit using an infrared signal, much the same way your TV remote works. Palm III and newer models are equipped with an infrared transmitter; check your for the dark plastic piece at the top. For beaming to work, both units need to have the infrared capability, both need to have beaming enabled in the preferences, and they need to be pointing at each other from between 2 and 20 inches apart. Beaming may not work properly if your batteries are low. 1. Enable Beaming a) Tap Applications button to display the applications screen b) Tap the categories in the upper right and choose System c) Tap the Preferences icon d) In the General preferences, make sure Beam receive is set to ON 2. Beaming a item a) You can beam address book entries, calendar appointments, to-do items, and memos. You cannot beam expense items or emails. b) Position your self with another Palm user with the units 2-20 inches apart, tops facing each other. c) Open the application: Press the address book button. d) Open the item by tapping it once. e) Tap the menu button f) Choose Beam Address g) A Searching message displays. If the Palm can't find the other user, you'll get a message. Try repositioning or making sure the other user's beaming function is enabled. h) The other person will get a message asking them to confirm if they want to receive the item.

3. Beam your Business card a) Create an Address List entry with all your info b) Tap the Menu button, then Record then Select Business Card c) When you want to beam your card Display the Address List and tap Menu > Beam Business Card or hold down the address button for 2 seconds to start beaming 4. Beaming a Category a) You can beam all of the items in a category, for example all your address book entries in the Business category. b) Press the Address Book button several times to cycle through the categories to reach the one you wish to beam. c) Tap the menu button and choose Beam category d) The items are added to the receiving persons Unfiled category. 5. Beaming an Application a) You can give someone else an application you have installed on your Palm unit by beaming it, unless it's one of the built in applications or commercially protected. Most applications that you download for free can be beamed to someone else. b) In the applications screen, tap Menu > Beam. A list of applications displays; protected ones have a circle icon next to them. c) Some add-on applications, especially "Hacks" are not beamable. The free utility BeamBox allows you to beam such programs. 6. B. Palm VII Wireless Functions: What you get 1. Email through the iMessenger application. You get an email address such as [email protected] which is sent directly to the Palm unit. 2. Web clipping services. A small application called a Palm Query Application (PQA) sits on the Palm and when you request specific information, such as stock quotes or a weather report, it goes out to the web to a specific site and downloads the information you requested. You cannot open any URL or web site, only ones specifically designed for the Palm VII. You get about 24 web clipping applications (PQAs) with the Palm VII, many more are available for downloading on the web.

C. How it works 1. Your Palm transmits radio signals to the nearest Bell South Mobitex base station. The Mobitex Network is like a cellular phone network, only it is specifically designed for computer data. 2. From the Bell South Network, data is passed to the Palm.net servers. Email is then sent out across the Internet the usual way; requests for info from the web clipping applications are sent to their specific web servers and back to you. [email protected] ISP

3. Payment a) To begin using the wireless functions, you run the Activate setup application in the Palm.net category of your applications. You choose a payment plan, give them your credit card number, and choose a username and password. This username becomes your email address. b) You are charged by the amount of data you send and receive each month. (No rolling over to the next month.) c) Basic Plan: $10/month for 50kb of data. (about 4 or 5 email/day or ~3 web searches) d) Extended Plan: $25/month for 150kb, (about 15 emails/day or several emails and several searches per day) e) You can log on to www.palm.net to check your account and usage amount and download additional web clipping applications.

D. iMessenger Application 1. In the Applications screen choose the palm.net category 2. Tap iMessenger icon. 3. To compose mail, tap New 4. Use the Lookup (/L) short cut to add an email address from the Address Book. 5. Once you've written the message, tap Check and Send to send it immediately or Outbox to send it later. 6. To save a draft: tap Menu > Message > Save Draft 7. To see different "folders" for managing your mail, go to the main screen for iMessenger and tap the categories in the upper right corner. 8. The Check and Send button also checks for new mail. Once you read the mail, you can tap Done to return to the main screen, Delete to delete it or Reply to create a reply. 9. Attachments to messages won't be downloaded unless they are plain text files, in which case they will be included in the message body. 10. Mail in the Deleted folder will remain there until you tap Menu > Message > Purge Deleted or until you accumulate 50kb of messages and they get deleted automatically. 11. Mail is truncated to send you only the first 500 characters; you can click the More button to download the next 500 characters. It will tell you how any characters are still left to read. 12. Instead of giving out your palm.net address to everyone you know, you can set up a rule in your email program to forward all or some of your mail to your palm. The rule can be set to forward email from certain people or with certain words in the message body or subject line. 13. If you don't want people to see your [email protected] you can set a different "from" address in your outgoing messages. Tap Menu > Options > Preferences and enter your other email address in the Reply To Address line.

E. Web Clipping Applications 1. In the Applications screen choose the palm.net category 2. Tap any application to open it. 3. Each application has its own interface and offerings, but always look for the buttons that have the little "over the air" lines to indicate that you will be going online to download information. 4. Unlike the web, where you pay for access the whole time you're online, the web clipping services only incur fees when you're actually accessing the web for a specific morsel of information. You also only see (and pay for) the pared down information you request, not for any banner ads or blinking buttons. 5. Note the Top and Back buttons at the top of the screen 6. Use the History drop down from the upper right corner to re-access pages you have visited.

F. Web and Email access with other Palm models The Palm VII may be simplest way to get wireless messaging and web access, but the older models can do it with some extra hardware. 1. The Novatel Minstrel Wireless modem costs around $370 and works with the Palm Professional and later models. Monthly service plans start around $50 per month for unlimited use. www.novatelwireless.com 2. The Omnisky device is a wireless modem for the sleek Palm V. A recent introductory offer was $299 which included several months of service. www.omnisky.com 3. For wired-email access with a standard phone line, the $129 Palm modem attaches to the bottom of any Palm Pro, III or later model and allows email and web access to an ISP if you install software such as HandMail, ProxiMail, pdQMail, and MultiMail for email and HandWeb, ProxiWeb, pdQBrowser, or Avant Go for web browsing. 4. Setting up the hardware, software, and ISP accounts for the non-VII options are a little more complex, though not unreasonable.
